Job Description
Patient Success & Growth Coordinator (Pinnacle Wellness Center)
Patient Success & Growth Coordinator
Pinnacle Wellness Center (Suen Chiropractic) | Pleasanton, CA
Part-Time, Weekday Mornings (9am-12pm)
ABOUT US
For six years, Pinnacle Wellness Center has been built around a different approach to care. Our lead provider, Dr. Ryan Suen, is a chiropractor who specializes in Applied Kinesiology – using it to find the actual root of what's going on with a patient, instead of running a high-volume adjustment mill. We pair this care with hyperbaric oxygen therapy (HBOT) to support the whole picture of our patient’s health. We're growing into a broader wellness center over the next few years, and we're looking for the right person to help us build it.
THE ROLE
This is a part-time, Monday through Friday morning position. This person will be the consistent face and voice our patients see from their first conversation with our marketing team all the way through their ongoing care with us. They will pick up where our marketing team leaves off with new patients who've already booked their first visit, run our HBOT chamber sessions, staff the front desk for morning patients, and convert first-time visitors into ongoing patients.
YOUR TIME, ROUGHLY BROKEN DOWN
Sales & Patient Conversion (~40%)
- Reach out to new patients after they've booked, to confirm their visit, answer questions, and set expectations for their first appointment including what to bring and wear (comfortable clothing, water, recommendations on what they can do while using the HBOT like reading a book)
- Follow up after a patient's first HBOT/chiro visit to talk through how it went and what's next
- Walk patients through care package and membership options: pricing, payment plans, and answering questions or honest hesitations
- Process payment and enrollment when a patient decides to move forward
Operations (~35%)
- Operate our wellness-grade HBOT chamber for new and returning patients (full training provided, no certification required)
- Staff the front desk for any patient booked in the morning, new or returning
Marketing Support (~20%)
- Social media, review requests, and follow-up outreach during downtime between sessions
Systems & Process (~5%)
- Help build and refine the SOPs behind all of the above as we grow
WHAT WE'RE LOOKING FOR
Experience:
- Real sales or closing experience. You're comfortable processing transactions, closing sales, and managing the full sales cycle from start to finish. You’re well-versed in overcoming objections, ensuring a "let me think about it" never stalls the conversation but instead opens the door to a deeper conversation. This is the single most important qualification for this role.
Who You Are:
- You genuinely believe in the mission. You believe in the root-cause and relationship-based care over a high-volume mill.
- Team-oriented and collaborative, yet deeply adaptable; comfortable assessing shifting situations on your own and stepping in to handle them without waiting for direction.
- Reliable, precise follow-through; chamber operation means following the same safety procedure exactly, every time
- Proactive and forward-thinking, with a natural ability to spot small operational gaps and solve them before they become issues.
- Genuinely available Monday through Friday mornings, on an ongoing basis
NICE TO HAVE
- Prior experience in healthcare, wellness, or a med-spa-style patient coordinator role
- Interest in helping build SOPs and operational systems as we grow
SCHEDULE & PAY
Part-time, Monday through Friday, 9am–12pm shift (15 hours to start, with room to expand toward 20+ hours). Given the morning schedule and the need for reliable, in-person coverage, we're prioritizing candidates based in or near the Tri-Valley (Pleasanton, Dublin, San Ramon, and Livermore) who can consistently make it in without fighting unpredictable traffic.
$23/hour, plus a quarterly bonus tied to how well you're helping new patients follow through into ongoing care – not a per-sale commission. We want someone focused on doing right by the patient and building a real relationship, not chasing individual closes. Room to grow in hours and scope as the practice does.
