Job Description

Senior House Manager & Personal Executive Assistant

Full-time, on-site • Los Angeles, California • Private household supporting a family (husbands and dogs)

About the opportunity

We are seeking an experienced, exceptionally organized House Manager and Personal Executive Assistant who takes pride in caring for people, loves dogs, and enjoys making a busy private household run smoothly. You will support husbands and care for four dogs, oversee household staff and vendors, maintain meticulous organization/inventory, and manage personal administration, projects, personal business ventures, and emails.

This is a long-term, full-time, on-site service career. You should enjoy both practical household work and executive-level coordination, anticipate needs, communicate promptly, and follow through until the result is complete. Success means the principals can rely on food, clothing, rooms, supplies, appointments, and home services being ready without EVER chasing details or oversight.

What you will own

  • Anticipatory personal service: prepare the home around the principals’ schedules, preferences, departures, returns, guests, and travel; coordinate appointments, reservations, errands, deliveries, and personal services.
  • Meals and supplies: plan and prepare meals, pack next-day lunches, shop for groceries, maintain kitchen organization, and replenish household and personal essentials before they run out.
  • Four-dog care: feeding, fresh water, walks, enrichment, cleanup, grooming/veterinary logistics, intemization of costs and consistent reward-based training under the approved plan. Maintain individual care records and recognize concerns requiring professional attention.
  • Household standards: supervise the housekeeper’s cleaning, laundry, and room resets, inspect the results, and maintain readiness between visits. When the housekeeper is unavailable, personally cover necessary cooking, cleaning, laundry, errands, and dog care while coordinating approved relief.
  • Staffing: source, screen, interview, and recommend household staff and backup caregivers; coordinate approved paid trials, references, onboarding, schedules, training, and service standards.
  • Vendors and property: manage landscapers, pool cleaners, contractors, specialty cleaners, and other providers; confirm scope, quotes, appointments, access clearance, work quality, and invoice accuracy; keep maintenance and project follow-up organized.
  • Inventory and organization: photograph and itemize possessions, clothing, jewelry, bags, furniture, equipment, supplies, and storage; keep exact locations and records current; track purchases, deliveries, repairs, returns, and posted refunds.
  • Executive support: manage assigned emails, calls, calendars, travel, and meetings; produce precise notes, decisions, owners, deadlines, and follow-up; represent the principal in specifically delegated meetings when prepared and authorized.
  • Document administration: perform organized first-pass commercial contract review, track approved NDAs and applicable BAAs, obtain required signatures, and escalate legal or compliance questions to the designated professionals.
  • Selected digital projects: use OpenAI / Claude / Notion effectively and responsibly; even better if you have social media platform background with ability to post, manage and edit; coordinate approved social-media staff and vendor deliverables, identify unanswered messages, and provide authorized backup drafting, posting, or routine responses.

How you work

You keep a reliable task system and concise daily report, with an owner, next action, deadline, and follow-up date for every open commitment. You acknowledge actionable communications promptly during assigned coverage, verify completed work, and bring clear recommendations with accurate prices and approval needs. You plan efficiently, combine errands, delegate appropriately, and flag capacity conflicts early with a proposed solution.

You value accuracy, discretion, warm service, and accountability. You are comfortable receiving detailed direction, learning individual preferences, and doing the practical work the household needs. You make problems and missed commitments visible and resolve them professionally.

Required qualifications

  • At least five years of directly relevant experience in private household or estate management (must have references and be willing to do credit and background checks), personal executive support, luxury hospitality, or a comparable service environment, with demonstrated hands-on residential responsibility.
  • Strong experience caring for multiple dogs and maintaining safe, consistent routines; comfort reinforcing an approved humane training plan.
  • Practical cooking and meal-prep ability, careful laundry and household skills, and experience supervising staff and coordinating vendors or substantial projects.
  • Excellent written and verbal communication, accurate meeting notes, strong organization, reliable time management, and demonstrated independent follow-through.
  • Confidence using Google Workspace, Notion or comparable task systems, inventory records, and AI tools such as OpenAI and Claude. Desired expertise in social-media coordination and approved content workflows.
  • High discretion and respect for confidentiality, security, valuable possessions, and the principals’ personal boundaries.
  • Valid driver’s license and reliable transportation for assigned errands and coverage. Ability to perform the essential functions of the role, with reasonable accommodation as applicable.
  • Clear interest in a long-term, full-time, on-site private-service career and the actual household responsibilities described here. Potentially live in as this role has had a live in prior for 3 years.

Schedule and coverage

Normal schedule: 7a-7pm daily, 7a-5pm Saturday or Sunday (housekeeper will take the other weekend day). The role includes planned evening, weekend, holiday, and overnight assignments and urgent on-call coverage. During principal travel, residence stays are required for average of 10-14 days. Live-in accommodation may be considered if agreed. Scheduled duties, paid working time, coverage windows, response expectations, genuine off-duty periods, and relief arrangements will be defined before acceptance.

This position requires dependable physical presence and is not offered as a remote-only or predominantly remote hybrid role.

Growth potential

Strong performance can lead to broader personal project leadership, executive representation, staff/vendor supervision, and approved creative or digital operations. Expanded responsibility is earned through sustained household reliability, efficient execution, sound judgment, and demonstrated learning. Any expansion includes agreed scope, authority, training, capacity, and supporting coverage. A promotion is not guaranteed.

How to apply

Apply through this listing with your résumé and a short explanation of your relevant household and executive-support experience, multiple-dog care, meal prep, staff/vendor management, and long-term career interest. Include your location, availability, live-in or live-out preference, and willingness to undertake agreed travel-period residence stays. Professional references will be requested and should be provided at onset.

Finalists may complete structured interviews and a paid practical assessment using realistic household, inbox, inventory, vendor, and meeting scenarios. Please do not submit confidential materials from previous employers.
