POSITION PROFILE

\n

The overall objective and purpose of the Group Sales & Event Services Manager is to plan for group meetings, conferences, and social events. The ability to multi-task, work under pressure, meet deadlines and achieve daily targets, whilst offering a very high level of Customer Service is a must.

\n

ESSENTIAL RESPONSIBILTIES

\n

    \n
  • Receive and complete inquiries for group meetings, events, and rooms only groups. Distribute to appropriate Sales Manager based on the Sales Team Deployment.
  • \n

  • Directly sell, book, and service Entertainment, Media, and VIP groups.
  • \n

  • Build strong relationships with customers to fully understand their needs.
  • \n

  • Create detailed event orders & diagrams to meet the specifications of the client, enter rooming lists, manage room blocks, food and beverage requirements, meeting room setups, billing, and other additional needs of the client.
  • \n

  • Maintain proper documentation of events, changes, and special requests with updated Banquet Event Orders, group resumes, and rooming lists. Provide accurate and concise information to all departments.
  • \n

  • Organize and conduct site visits, pre-planning visits, pre-con, and post-con meetings.
  • \n

  • Function as the on-site contact to client and address challenges or concerns immediately.
  • \n

  • Maximize revenue by selling all facets of the hotel to include restaurant, bar, patio, and outlets for upselling.
  • \n

  • Ability to work with vendors to ensure client satisfaction for all groups.
  • \n

  • Communicate and enforce contractual agreements with the client pertaining to meeting space, food and beverage, and special concessions.
  • \n

  • Responsible for the collection of attrition charges owed, as directed.
  • \n

  • Ensure that all guest checks, payments, master folios, and advanced deposits are submitted to accounting; ensures that any other information, which is necessary and/or helpful for successful catering or group business is submitted to appropriate departments, as directed.
  • \n

  • Ensure Hilton Honors points are posted following the conclusion of the event, as directed.
  • \n

  • Collaborate with culinary operations to assist in the development, design, and implementation of custom menus.
  • \n

  • Work with sales team to prepare and distribute Group Resume Packet to hotel staff weekly.
  • \n

  • Create Daily Event Posting and distribute to all departments.
  • \n

  • Generate thank you notes for departed groups
  • \n

  • Greet all clients (in rotation with sales manager/DOSM for room's only groups) as they arrive on the day of arrival.
  • \n

  • Competently utilize the required systems/equipment and platforms to effectively detail and track the progress of groups from turnover through execution.
  • \n

  • Maintain accurate, organized, and up-to-date files including computer filing and sales platform records (attachments, traces, activities, etc.).
  • \n

  • Attend daily ops stand up to provide details on arriving groups, in-house groups, VIPs, and other items as needed
  • \n

  • Review arrivals report to verify room rates, market segments, and company profiles attached.
  • \n

  • Provide potential new BT Account info to BT Sales Manager, as needed
  • \n

  • Verify package guest amenities are coordinated with the front desk to ensure guest receives.
  • \n

  • Complete amenity forms & note cards and coordinate to ensure guest receives. Log in amenity tracker.
  • \n

  • Identify VIP Sales guests and coordinate room assignments with front desk, housekeeping, and food & beverage.
  • \n

  • Complete required reporting and documentation.
  • \n

  • Directly sell, track, organize, and communicate details for all photo and video shoot bookings.
  • \n

  • Continue professional development through educational offering made via industry trade groups and educational hospitality associations.
  • \n

  • Encourage repeat business through excellent customer service and inquiry handling.
  • \n

  • Create & log requested gift certificates as directed.
  • \n

  • Log all redeemed gift certificates in tracker to ensure proper usage.
  • \n

  • Other duties and tasks assigned by the management within the job scope.
  • \n

  • Knowledge of Delphi, including merging menus, blocking function space, and creating BEO's.
