Monday–Friday
Full-time, 8-hour shift
Occasional evenings or weekends for required meetings, trainings, center events, or leadership responsibilities

About Grow and Glows Learning Academy

Grow and Glows Learning Academy is a growing early childhood education center committed to providing a safe, engaging, organized, and high-quality learning environment for children ages 6 weeks to 12 years.

We are seeking a highly organized, professional, dependable, and proactive Assistant Director – Administration & Operations to work closely with the Owner/Director and leadership team.

This position combines administrative management with childcare leadership. We are looking for someone who can manage important administrative responsibilities while also helping oversee staff, parent communication, compliance, scheduling, and daily center operations.

This is not strictly a desk position. The ideal candidate is someone who can organize the office, communicate professionally with families, hold staff accountable, support classrooms when necessary, solve problems, and help ensure the center operates successfully without requiring constant direction from the Owner/Director.

Position Summary

The Assistant Director – Administration & Operations serves as a key member of the GGLA leadership team and provides direct support to the Owner/Director.

This individual will assist with administrative operations, employee accountability, parent communication, scheduling, enrollment, compliance tracking, staff documentation, digital organization, and day-to-day center needs.

The successful candidate will be expected to take ownership of assigned responsibilities, identify concerns, follow through to resolution, and appropriately handle routine operational matters before escalating them to the Director.

The ideal candidate is detail-oriented, technology-savvy, professional, confident, solution-focused, and capable of handling confidential employee, child, family, and business information with discretion.

Administrative & Organizational Responsibilities

  • Assist the Owner/Director with daily administrative and operational responsibilities
  • Organize and maintain employee, student, enrollment, licensing, and operational records
  • Manage calendars, schedules, appointments, meetings, and administrative deadlines
  • Prepare memos, letters, flyers, reports, spreadsheets, presentations, and staff communications
  • Maintain accurate attendance and enrollment records
  • Track employee documentation, training, certifications, credentials, and required paperwork
  • Assist with employee onboarding and orientation
  • Maintain organized digital and physical filing systems
  • Monitor administrative projects and follow through until completion
  • Help ensure leadership deadlines, assignments, and recurring responsibilities are completed
  • Maintain confidentiality of all employee, child, family, and business information

Staff Leadership & Accountability

  • Assist with daily staff scheduling and staffing adjustments
  • Monitor employee attendance, tardiness, call-outs, and schedule adherence
  • Document attendance and performance concerns according to center procedures
  • Follow established procedures for employee coaching and corrective action
  • Communicate expectations and provide professional direction to staff
  • Follow up with employees regarding required documents, training, certifications, and assigned responsibilities
  • Support new employees during onboarding and their transition into the center
  • Help ensure staff follow GGLA policies, procedures, classroom expectations, and professional standards
  • Address routine staff concerns and appropriately escalate serious matters to the Director
  • Assist leadership with maintaining a professional, accountable, and positive workplace culture

Parent Communication & Enrollment

  • Answer phone calls, emails, messages, and inquiries professionally
  • Provide excellent customer service to current and prospective families
  • Assist with tour scheduling and prospective-family follow-up
  • Support enrollment and onboarding of new families
  • Maintain accurate student and family information
  • Assist with routine parent questions and concerns
  • Monitor the consistency and professionalism of parent communication
  • Help ensure families receive timely information regarding their children and center operations
  • Escalate serious or sensitive family concerns to the Director when appropriate
  • Maintain positive and professional relationships with families and visitors

Operations & Compliance

  • Assist leadership with maintaining compliance with Texas Child Care Licensing Minimum Standards
  • Support Texas Rising Star documentation and quality-improvement requirements
  • Help maintain employee and student files so they remain organized and inspection-ready
  • Track required employee training and compliance documentation
  • Assist with incident reports, internal audits, licensing documentation, and administrative follow-up
  • Conduct routine checks of administrative and operational systems
  • Identify missing documentation or compliance concerns and follow through on corrections
  • Monitor office and classroom supply needs
  • Assist with center projects, reports, goals, and improvement initiatives
  • Help maintain an organized, professional, and inspection-ready center

Technology & Systems

The successful candidate should be comfortable learning and utilizing multiple technology platforms.

Responsibilities may include:

  • Google Docs, Sheets, Forms, Drive, and other Google Workspace applications
  • Childcare management and parent communication platforms
  • Email and calendar management
  • Microsoft Office
  • Canva
  • Digital employee and student records
  • Online training and compliance systems
  • Reports, spreadsheets, presentations, and tracking systems
  • Basic social media or marketing support when needed

The Assistant Director will also help ensure GGLA’s digital files, shared systems, documents, and administrative resources remain organized and accessible to authorized leadership.

Leadership & Problem Solving

As a member of the leadership team, the Assistant Director will be expected to:

  • Take ownership of assigned responsibilities
  • Identify problems and recommend solutions
  • Handle appropriate day-to-day operational decisions within established policies
  • Follow through without repeated reminders
  • Help oversee operations when the Owner/Director is unavailable
  • Support teachers and classrooms when operational needs require assistance
  • Participate in leadership meetings, staff meetings, professional development, and center initiatives
  • Communicate concerns promptly and professionally
  • Know when a matter can be handled independently and when Director involvement is necessary
  • Help create systems that improve efficiency, accountability, organization, and center quality

Qualifications

  • High school diploma or equivalent required
  • Administrative, supervisory, management, or leadership experience preferred
  • Childcare or early childhood education experience strongly preferred
  • Previous childcare leadership experience is a plus
  • Knowledge of Texas Child Care Licensing Minimum Standards preferred
  • Familiarity with Texas Rising Star is a plus
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
