We are seeking an experienced Administrative Assistant to join our team! You will provide high-level, in person administrative support. MUST HAVE professional services firm (i.e. accounting, engineering, law, architecture, IT, actuarial, marketing agency, consulting firms) admin experience. PLEASE DO NOT APPLY if you do not have professional services firm admin experience and excellent experience in Excel and Grammar/Proofing.

  • Maintain and order supplies
  • Develop strategies and tactics to boost the company’s reputation and drive qualified traffic.
  • Create successful marketing campaigns from ideation to execution.
  • Write proposals/bids to sell our services.
  • Provide short and long-term market forecasts and reports by directing market research collection, analysis, and interpretation of market data specific to our industry.
  • Plan and manage meetings, events, conferences, and trade shows by identifying, assembling, and coordinating requirements, establishing contacts, developing schedules and assignments, and coordinating mailing lists.
  • Creating and maintaining client relationships
  • Maintains marketing staff by training employees, planning, monitoring, and following up on work results.
  • Develops marketing staff by providing information, educational opportunities, and experiential growth opportunities.
  • Provide marketing info. by answering questions and requests.
  • Achieve financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiatives corrective actions.
  • Produce valuable and engaging content for our website to attract target groups.
  • Develop marketing plans and programs for each professional service offered.
  • Direct purchase of promotional products for vendor booths.
  • Oversee and approve marketing material, from website content to hard copy brochures.
  • Analyze client behavior and adjust email and advertising campaigns accordingly.
  • Build strategic relationships and partner with key industry agencies and vendors.
  • Prepare and monitor the marketing budget on a quarterly and annual basis and allocate funds wisely.
  • Measure and report on the performance of marketing campaigns, gain insight, and assess against quarterly goals.
  • Provide administrative support to the marketing team.
  • Responsible for database administration including:
  • Keeping all records up to date.
  • Managing all un-subscribers.
  • Updating returned mail.
  • Managing bounced emails.
  • Update sponsor tick boxes from events.
  • Update teleseminar registrations in the database.
  • Support marketing with:
  • Send out material to people on request.
  • Send out material each quarter to all state offices of professional bodies.
  • Type up testimonials from evens and surveys.
  • Organizing even logistics such as:
  • Managing registrations
  • Booking team flights and travel arrangements
  • Managing deliveries and couriers
  • Coordinating printing of marketing collateral and swag
  • Take minutes of meetings.
  • Generate leads and build and nurture client relationships.
  • Research revenue opportunities and economic trends, analyze internal operations, identify areas of cost reduction and process enhancement.
  • Participate in brainstorming, office activities, team meetings and client meetings, researching and assisting with program development for existing clients and new prospects.
  • Maintain a database of clients, prospects, partners, and vendors.
  • Stay current with company offerings and industry trends.
  • Oversee and achieve organizational goals while upholding best practices.
  • Contribute to the development and implementation of strategic plans for marketing.
  • Identify appropriate market opportunities.
  • Maintain the marketing calendar and keeping up to date.
  • Ensure up to date knowledge of market and industry developments.
  • Develop and implement plans for opportunities identified.
  • Accurate reporting on all marketing activities and targets.
  • Keeping all marketing materials up to date and current to meet deadlines.
  • Develop systems, checklists, and procedures.
  • Managing all lead generation activities in consultation with Managing Partner.
  • Coordinate publication of newsletter and magazine.
  • Coordinate referrals to sales team.
  • Maintain alliance and sponsor relationships.
  • Represent the company at industry events and meetings.
  • Assist in the development and implementation of the company’s brand strategy.
  • Ensure all marketing efforts serve to achieve immediate and long-term business goals, identifying and executing improvements for processes, content, and lead generation.
  • Proofing, grammar, spelling.
  • Presentation of deliverables and marketing material.
  • Professional writing.
  • Prepare marketing activity reports and metrics for measuring program success.
  • Support the maintenance and development of internal tools, including a credentials database, tracking capability, global contact directory, and intranet sites.
  • Further knowledge and education regularly through workshops, research, and seminars, and share best practices, and local marketing ideas and tactics with the team.
  • Conduct research to analyze market trends, customer behavior, and competitive landscape, and prepare reports by collecting, analyzing, and summarizing data.
  • Support the Partners in evaluating and establishing the marketing plan and strategy by assembling and analyzing sales forecasts, setting objectives, planning, and organizing promotional presentations, and updating calendars.
  • Communicate campaign objectives, forecasts, timelines, results, and deliverables to sales team, and provide instructions for use or promotion.
  • Maintain a directory and inventory of sales support materials, ensuring all resources are current and accurate, and coordinate mailing lists.
  • Continually seek and research new sources of prospective customer data and provide recommendations to sales and marketing leadership.
  • Other duties as required.

  • Previous experience as an administrative assistant, or in other related fields

  • Highly skilled in Word, Excel, PowerPoint

  • Minimum Education: Bachelor’s Degree in Marketing or related field
  • Proven experience in identifying target audiences and in creatively discovering and leading
  • Solid knowledge of website analytic tools (ex: Google Analytics, Net Insight, Omniture, Web Trends)
  • Making sense of metrics and processing figures with spreadsheets
  • Demonstrable experience leading and managing marketing databases, email, social media, and/or display advertising campaigns.
