Position Type: Part-Time (20-30 hours/week)
We are looking for a professional, energetic, and customer-focused Front Desk Coordinator to join our growing luxury wellness spa and medical clinic. This role is perfect for someone who is highly organized, enjoys building relationships with clients, and thrives in a fast-paced environment.
Responsibilities:
• Welcome and check in patients/clients with a warm and professional attitude
• Answer phone calls, texts, emails, and social media inquiries
• Schedule, confirm, and manage appointments
• Process payments and maintain accurate patient/client records
• Assist with patient/client intake forms and documentation
• Coordinate provider schedules and daily spa & clinic operations
• Follow up with leads, consultations, and existing patients/clients
• Educate patients/clients on services, memberships, and treatment packages
• Support marketing promotions and clinic events
• Maintain a clean, organized, and luxury front desk experience
• Help increase client/patient retention through excellent customer service and re-booking
• Sell memberships, packages, and treatment plans
Qualifications:
• 18 years old or older
• Minimum 2 years of previous experience in a medical spa, day spa, wellness clinic, or luxury customer service environment preferred
• Strong communication and interpersonal skills
• Excellent organizational and multitasking abilities
• Comfortable using medical spa scheduling software and electronic medical records (EMR) systems
• Professional appearance and positive attitude• Sales experience
• Verify insurance (if applicable)
• Work evenings & weekends
