Finance & Operations Coordinator

PublishedPublished: 6/14/2022

Job Description

Company Description

\n

Gondola is a verified content attribution platform that connects creators, their work, and career opportunities in a single, intuitive space. Creatives can build shareable portfolios by linking content from any account, tagging their role, and crediting collaborators, ensuring their contributions are recognized. The platform provides performance data across social channels, allowing users to showcase impact, demonstrate results, and secure new opportunities. We also support brands, sports organizations, and media companies with creative sourcing and staffing programs. Behind that work is a growing volume of creator contracts, onboarding, client invoices, and payments that need careful coordination.

The Role

\n

We're looking for an organized, proactive Finance & Operations Coordinator to help keep our creator and client programs running smoothly. This is a hands-on role focused on contracts, invoicing, payments, documentation, and persistent follow-through. You'll work closely with our operations team to make sure agreements are completed, invoices are correct, payments are tracked, and outstanding items get resolved without constant reminders. We need someone who enjoys owning the details and making processes easier for everyone involved—not someone looking primarily for a strategic finance or accounting advisory role.

\n

\n

Key Responsibilities

\n

• Manage creator and contractor onboarding, including agreements, signatures, tax forms, and payment setup.

\n

• Prepare, track, and follow up on contracts and approvals across creator and client projects.

\n

• Review contractor invoices, coordinate approvals and payments, and resolve discrepancies.

\n

• Support client billing, track outstanding invoices, and follow up on overdue payments.

\n

• Maintain accurate project budgets, creator records, deliverables, and payment trackers.

\n

• Coordinate with creators, clients, and internal teams to keep deadlines and outstanding tasks moving.

\n

• Support financial reconciliation, payroll-related administration, and improvements to workflows in QuickBooks, Google Sheets, and other tools.

\n

\n

What We're Looking For

\n

• 2+ years of experience in operations, financial administration, contracts coordination, production coordination, or a similar hands-on role.

\n

• Demonstrated experience managing invoices, payments, contractor paperwork, and detailed follow-up across multiple stakeholders.

\n

• Strong Google Sheets skills and comfort with QuickBooks Online or comparable financial software.

\n

• Excellent organization, accuracy, written communication, and discretion with confidential financial and personal information.

\n

• A self-directed, service-minded person who takes ownership of open items and follows them through to completion.

\n

• Comfortable learning new systems and using automation thoughtfully while checking work carefully.

\n

• Experience with creative agencies, production companies, staffing businesses, or freelancer-heavy teams is a plus.

\n

• Familiarity with Stripe, Gusto, payroll coordination, and accounts receivable is helpful but not required.

\n

\n

How Success Will Be Measured

\n

Contracts are signed and organized before work begins; creator invoices and client bills move through the process accurately and on time; payment status is easy to see; and the operations lead spends substantially less time chasing paperwork, correcting invoices, and following up on outstanding items.

\n

\n

Working Arrangement

\n

Part-time, hourly contract work with potential to expand as the business grows. You'll work closely with the operations team and leadership. Financial disbursements, nonstandard contract terms, and compliance decisions remain subject to designated internal approval.
