Job Overview
The Front Desk/ Clinic Coordinator is the operational heartbeat of The PRO2COL, part concierge, part brand ambassador, part revenue driver. As the first and last point of contact for every client, this individual sets the tone for a luxury wellness experience rooted in education, precision, and care. This is not a traditional front desk role. The right candidate will be deeply knowledgeable about our full suite of services, confident in guiding purchasing decisions, and capable of operating as a direct extension of ownership and management, proactively identifying what needs attention before being asked.
Responsibilities
- Greet every guest with warmth and professionalism; offer a refreshment upon arrival, provide a locker and towel, and ensure each client feels seen, supported, and valued from check-in to checkout
- Build genuine client rapport that drives long-term loyalty, repeat bookings, and membership conversions across all tiers
- Educate clients on services, packages, and protocols with confidence and accuracy; guide new clients toward the right treatment plans based on their goals
- Follow up on leads, close consultations, and contribute directly to monthly sales and revenue targets
- Manage scheduling, maintain an organized calendar, and handle incoming calls with excellent phone etiquette
- Maintain accurate client records, data entry, and documentation within CRM and EHR/EMR systems
- Oversee inventory tracking and flag supply needs to ensure smooth daily operations
- Maintain an immaculate front-of-house environment including the lobby, common areas, and treatment rooms; wipe down machines between sessions as needed
- Assist nursing and clinical staff with room prep between clients
- Participate regularly in machine and protocol trainings to stay fluent in The PRO2COL's full suite of offerings
- Assist with email newsletter execution and occasional social media content capture (photos, short video clips of the facility and client experience)
- Proactively scan the environment for anything that needs attention and cleanliness, unresponsive leads, scheduling gaps, operational details and act without being asked
- Perform additional administrative and operational tasks as needed to support clinic management
Qualifications
- SELF-STARTER
- 2+ years of experience in a client-facing coordination, operations, or administrative role
- Background in medical, wellness, luxury hospitality, or high-end retail environments strongly preferred
- Proficiency in EHR/EMR platforms and CRM tools
- Strong organizational skills with exceptional attention to detail and follow-through
- Proven ability to manage multiple priorities and complete tasks with consistency and accuracy
- Excellent interpersonal and phone communication skills
- Sales-minded with a track record of client retention, upselling, or conversion
- Tech-savvy with the ability to learn new software quickly; familiarity with or openness to AI tools and workflow automation
- Strong written communication skills; comfortable contributing to newsletters and light content creation
- Bilingual abilities are a plus
- Professional, polished presentation that reflects the elevated standard of the brand
