Job Description
Operations and Customer Service
Location: Downtown Boca Raton, FL
Position Type: Full-time, in-person
Role overview
The Operations and Customer Service role coordinates order fulfillment, customer communication, warehouse activity, and accounts receivable support for Unico ITC’s in-house brands and private-label business. The role owns marketplace order processing, wholesale order and LTL coordination, daily warehouse communication, and Dutch Harbor Brands customer service.
This position relies heavily on computer-based workflows. Strong working knowledge of Microsoft Excel and Outlook, along with the ability to learn and navigate new programs, is essential. Training on company-specific platforms will be provided, but strong computer skills and the ability to pick up new software quickly are non-negotiable.
Core responsibilities
- Manage and optimize order fulfillment across multiple brands and private-label programs, with responsibility for two distinct workflows:
-
- Marketplace Order Processing: Own the logistics and processing of all marketplace orders to ensure timely, accurate fulfillment. Support this work with inventory forecasting and sales-report analysis, ongoing SOP refinement, and daily use of Amazon Seller Central and inventory-management software.
- Wholesale Order & LTL Coordination: Process wholesale orders and coordinate less-than-truckload (LTL) freight shipments, including scheduling pickups, communicating shipment requirements, and helping ensure accurate, timely delivery.
- Warehouse Coordination: Communicate with the warehouse team daily to align on fulfillment priorities, inventory accuracy, order status, and operational capacity.
- DHB Customer Service: Ensure Dutch Harbor Brands customer emails, phone inquiries, live-chat requests, and marketplace messages are answered promptly, accurately, and professionally.
- Ensure accurate invoicing and provide general accounts receivable support in coordination with the CPA. Prioritize Net Terms Collections by following up with net-terms customers to request payment, maintain healthy cash flow, and help minimize outstanding receivables.
- Collaborate with team members to identify process improvements, refine SOPs, maintain clear cross-department communication, and support consistent execution of operational procedures.
- Use Microsoft Excel, Outlook, inventory-management software, QuickBooks Online, Amazon Seller Central, and other operational tools to support daily workflows, reporting, customer communication, and fulfillment coordination. Company-specific platform training will be provided.
- Perform other related administrative and coordination tasks as assigned.
Required skills and qualifications
- Associate degree in Business Administration or a related field.
- Strong working knowledge of Microsoft Excel and Outlook. Comfort using spreadsheets and email as everyday work tools is essential.
- Strong computer skills, including the ability to learn and confidently navigate new programs and software. Training on company-specific platforms will be provided, but the ability to pick up new programs quickly is non-negotiable.
- Strong organizational and time-management skills, with the ability to manage multiple order, customer-service, and administrative workflows simultaneously.
- Strong attention to detail, communication, problem-solving, and critical-thinking skills.
- Ability to learn and apply basic data analysis to support operational decisions, inventory planning, and reporting.
- Ability to communicate professionally with customers, warehouse personnel, freight carriers, and internal team members.
Preferred skills and experience
- Two or more years of experience in operations, order processing, customer service, logistics, fulfillment, or a related role.
- Experience coordinating wholesale orders, freight shipments, or LTL deliveries.
- Experience supporting invoicing, accounts receivable, or payment follow-up with business customers.
- Experience with QuickBooks Online, Amazon Seller Central, inventory-management software, or marketplace order-management tools.
- Additional remote customer-service experience is a plus.
Ideal candidate profile
The ideal candidate is organized, detail-oriented, and comfortable managing multiple operational workflows at once. You communicate professionally with customers and colleagues, follow through on payment and order-status requests, and stay in close contact with the warehouse to keep fulfillment priorities and inventory information aligned. You are confident using Excel and Outlook, comfortable learning new software, and ready to take ownership of the day-to-day details that help orders move accurately and on schedule.
